Manage user access to app features, surveys and survey groups.

It's possible to limit a user's access to certain app features or surveys by using zenloop's user access management.

User Management can be access by navigating to the menu (your name) < User Management.

User Roles

Account Owner

The Account Owner is the primary admin for your organisation. This user role is given, by default, to the first user assigned to the organisation. Account ownership can be transferred to another user by the current Account Owner and there can be only one Account Owner at any given time.

Inviting Users

To invite a user;

1. Navigate to User Management

2. Select Invite users

3. Enter the email addresses. *Tip: Invite multiple people at once by entering the email addresses comma separated

4. Select the User Role < Send invite:

The invited users should receive an email inviting them to sign up to your organisation.

Removing Users

This feature is only available to Account Owners and Admins.

To remove an existing user, select the Bin icon next to their name:

Updating User Roles

This feature is only available to Account Owners and Admins.

To update an existing user's role, select the Pen icon next to their name and adjust as required:

Data Access By Survey

This is a premium feature and will incur additional cost. Please talk to your Success Manager to find out more.

Data Access by Survey allows each user to have multiple roles within the zenloop app. Each role is linked to a survey group - which means you can use survey groups to limit the scope of each user role.

For example, you may only want to give your Germany Market Manager access to the German language surveys - this is possible using the survey group based permissions.

Combinations of User Roles

One survey can be a part of more than one survey group - which means a user can have more than one role for the same survey. As a rule of thumb, the highest level of permissions wins.

For example, if you have Admin permission to Survey Group A but Read-Only to Survey Group B โ†’ for overlapping surveys, you will have Admin access.

Therefore, it may be the case that you have a combination of access within one survey group.

All Surveys & Survey Groups: a "Special" Survey Group

There is one "special" survey group which is called All Surveys & Survey Groups and it includes all surveys within your zenloop account.

Access to this survey group will mean the user can access all data in your zenloop account.

By default, any newly created survey is added to the All Survey & Survey Groups.

Users Tab

The Users tab contains information about all your users within your zenloop account. For each user, you can see which survey groups he or she has access to, as well as which user roles are linked to each accessible survey group.

The Survey Groups tab contains information about all Survey Groups created within your zenloop account. For each survey group, you can see which users have access to it, as well as which user roles are linked to each user.

Custom User Roles

This is a premium feature and will incur additional cost. Please talk to your Success Manager to find out more.

With 18 unique permissions - easily combine individual Survey Group and Organisation level permissions to create custom user roles for complete flexibility across your User Access Management.

Predefined User Roles

zenloop has four predefined User Roles - Admin, Manager, Analyst and Read-Only - and these cannot be edited or deleted.

Copying Predefined User Roles

It is possible to copy, and then customise, existing User Roles (whether they are the four predefined, or other previous created roles). To do so;

1. Navigate to Menu < User Management < User Roles and select the Role you'd like to copy

2. Select Copy:

3. Give it a name, toggle off/on the desired permissions and select Save:

Creating New User Roles

It's possible to create User Roles from scratch. To do so:

1. Navigate to Menu < User Management < User Roles and select Create new role:

2. Give the Role a name, toggle on/off the desired permissions and select Save:

* Please note:

  • Users can be transferred between custom roles as usual

  • Data Access by Survey is not a prerequisite of Custom User Roles
